About the Company:

Our client is a recognized leader in the HVAC Industry across Mississauga and GTA surrounding areas. Operating for over 30 years, they have been successful in providing installation and preventative maintenance in the heating, ventilation and AC equipment for their commercial and industrial customers. They are committed in giving excellent quality of service at comparable rates.

Our client is seeking an HVAC Service Coordinator/Administrator to join their team.

Responsibilities:

  • Perform daily scheduling of service technicians
  • Maintain key relationships between customers and service technicians
  • Identify customer sites, equipment and history
  • Review and manage work orders
  • Coordinate customer quotes/recommendation process and provide support in parts sourcing with vendors
  • Support in tracking & converting of quotes/recommendations and ordering of all related part and equipment
  • Perform follow-up with the technicians and customers
  • Ensure timely and accurate paperwork documentation
  • Maintain monthly and quarterly preventive maintenance schedule
  • Update customer service software and utilize Excel & Quickbooks to maintain work orders, customer database, and inventory list
  • Responsible for the overall budget and logistics of the service department
  • Other service duties as assigned

Requirements:

  • Post-Secondary education with focus on trades is an asset
  • Minimum 3 years experience in a coordination and administrative role
  • Exposure in the HVAC Industry is considered an asset
  • Proficient in MS Office (Word, Excel, Outlook, etc.) and Quickbooks
  • Strong written and oral communication skills
  • Excellent customer service and organizational skills
  • Possess a high attention to detail
